Prompts

Manage the questions Opttab asks AI engines for you, see how each one performs, and review every answer they produced.

A prompt is a question a buyer might ask an AI assistant, such as "best project management tool for small agencies". Opttab asks your prompts to AI engines on a schedule and records each answer. Everything on the Dashboard is built from these answers.

Open Prompts in the sidebar (/prompts). The page has five tabs: Prompts, Responses, Search Queries, Visibility Signals and Funnel View.

Every account member can view Prompts. Adding, editing and deleting prompts or topics needs Full access to the workspace. With Read only access the Add and Generate buttons still show, but saving returns a permission error.

How prompts are run

  • Run Schedule: each prompt runs Daily, Weekly or Monthly. Which options you can pick depends on your plan.
  • First run: a new prompt is due at once. Opttab checks for due prompts every 5 minutes, so the first answers usually start arriving within minutes.
  • AI engines: a prompt runs on every engine your plan includes. You don't pick engines when you add a prompt manually.
  • Freshness: after answers arrive, Opttab extracts mentions and citations, then sentiment. Sentiment can take a little longer than the other figures.

Coverage banner

The Prompt Coverage Intelligence banner sums up your prompts: "You appear in X% of AI answers across N topics. Coverage is Y%, with Z gaps worth fixing."

  • Avg. Visibility: how often answers to these prompts mention you, for the selected period.
  • Avg. Coverage: the average share of each topic's prompts that you track.
  • Gaps: suggested prompts saved to your discovery pool but not tracked yet.

Click Expand or See Details to see coverage per topic. Click Complete to track every untracked prompt in a topic, or track a single prompt on its own. A prompt that "needs a market or a review first" can't be tracked yet.

See Prompt coverage for the formula.

Topics rail

The left rail lists All and each topic with its prompt count. Click a topic to filter the table. Click Add topic to create one. See Topics and competitors.

Find and filter prompts

  • Period picker: changes only the Visibility figures, never which prompts are listed.
  • Platforms and Intent chips.
  • Filters menu: Mentions (Mentioned / Not mentioned), Platforms, Target Audience, Scope, Intent, Location, Language, Visibility (range), Volume (range). Reset clears them.
  • Search Prompts box.
  • Sort by: Position, Text, Date added or Last run, Ascending or Descending.

Table columns

ColumnWhat it shows
VisibilityHow often this prompt's answers mention you in the selected period. "Not measured yet" until the first answers are in.
PromptsThe prompt text.
IntentThe buyer intent the prompt represents.
CountryThe market the prompt is asked for.
VolumeFive dots for monthly search demand behind the prompt: under 100, 100+, 1,000+, 10,000+, 100,000+.
ScopeNon-branded, Branded, Competitor-branded, Mixed comparison or Product-branded.
AudienceThe target audience tag.

Each topic header shows the topic's average visibility. Each row has an Optimize button that opens Optimize for that prompt.

Click a row to open the prompt drawer: a quick view with Previous prompt / Next prompt. Click Open Prompt for the full prompt details.

Responses tab

Every answer in the workspace over the last 365 days, newest first. Columns: Responses (an excerpt), AI Models, Date.

  • Search with Search Responses.
  • Turn on Only Mentions You to see only answers that name your brand.
  • Filter by Model.
  • Answers from deleted prompts are labelled "Prompt deleted".

Search Queries tab

When an AI engine searches the web to write an answer, Opttab records the searches it ran. Top Searched Queries shows the most frequent ones.

ColumnWhat it shows
Term TitleThe search the AI engine ran.
TypeWeb or Map.
VolumeHow many answers ran this search. This is not search-engine volume.
ModelThe AI engine.
Visibility ScoreHow often answers that ran this search mention you.
Sources / CitationsWhether your site was a source or was cited.
Last Seen / First IdentifiedWhen the search was last and first recorded.

The default window is the last 30 days.

Visibility Signals tab

Matches the searches AI engines ran with your own search performance. One row per search and AI engine, with Source, Model and Query, then Clicks, Impressions, CTR and Position for Google and Bing, and a Score.

The Google and Bing columns need Google Search Console or Bing Webmaster Tools. Until you connect, they are blurred with a Connect button. After connecting, the figures appear within a few minutes. See Integrations.

Funnel View tab

The Intent Funnel groups prompts by buying stage: Discovery, Education, Comparison, Recommend, Reputation, Operational, Transaction, Agentic. Pick a stage to list its prompts. Click + to add a prompt with that intent already selected. Use it to spot stages with few or no prompts.

Edit or delete a prompt

Open the prompt

Click a row, then Open Prompt.

Edit it

Click Edit, change the text, topic, intent, location, language, schedule or tags, then click Save Changes. A prompt moved to another topic goes to the end of that topic.

Or delete it

Click Delete prompt and confirm.

Deleting is permanent. The prompt stops running, and its answers no longer appear in any report. You can't undo this.

There's no pause button. To run a prompt less often, change its Run Schedule instead.

Limits

Your plan sets:

  • how many prompts you can track (across the whole account),
  • how many topics you can have (across every workspace in the account),
  • which AI engines are queried,
  • which run schedules you can choose,
  • your monthly responses allowance.

The numbers depend on your plan — see Plans and billing. When you hit one, Opttab refuses the change with a reason such as "Plan limit reached" or "your plan does not include this AI model or schedule".
