Key concepts

The terms Opttab uses, from AI engines and prompts to mentions, citations, visibility and roles.

A short glossary of the words you'll see across Opttab. Metric formulas are explained in full in Metrics explained.

How your data is organized

Account and workspace

TermWhat it means
AccountYour company in Opttab. It holds one plan, the billing details, invoices and the list of people. Plan limits are shared across the whole account, not given again per workspace.
WorkspaceOne tracked brand, with its own brand profile, competitors, topics, prompts, connections, name, logo and brand color. In an agency account, each workspace is a client.

Tracking terms

TermWhat it means
AI engineAn AI assistant or AI search experience that Opttab asks your prompts. Your plan decides which engines a workspace tracks.
PromptA question you track across AI engines, such as "best running shoes for flat feet". Each prompt runs on a schedule: Daily, Weekly or Monthly, as your plan allows.
TopicA group of related prompts, such as "Running shoes". Topics organize your prompts and let you compare visibility by theme.
Answer (response)The text one AI engine returned for one prompt on one run. Each prompt produces one answer per engine per run.
MentionAn answer names your brand or a tracked competitor. Opttab tracks both whether an answer mentions you and how many times.
Citation (source)A web page an answer links to or relies on. Each one is labelled Your domain, A tracked competitor or Third party.
CompetitorA brand you choose to compare yourself with. Your brand plus your competitors make up the brands Opttab compares in rankings. Brands that AI engines name but you don't track show up as Discovered.
VisibilityThe share of AI answers in the period that mention your brand. Shown as the Visibility Score.
Share of VoiceYour share of all brand mentions among you and your tracked competitors. An answer that names you three times counts three times.
Share of CitationsThe share of all citations in answers that point to your own website.
SentimentHow AI engines talk about your brand: Positive, Neutral or Negative. The dashboard shows the share that is positive.

AI engines Opttab can track

ChatGPT, Gemini, Perplexity, Claude, Google AI Mode, Google AI Overview, Copilot, Grok, DeepSeek and Mistral.

Your plan decides which of these engines a workspace tracks. A new prompt runs on every engine your plan includes. See pricing.

Roles

Everyone in an account has an account role. Members also have a role in each workspace they can open.

RoleWhat they can do
OwnerEverything. One per account. The only role that can pay, change or cancel the plan, edit billing details and delete the account.
AdminReaches every workspace. Manages people, workspaces, integrations and API keys. Can view billing, but not change it.
Member (account role)Reaches only the workspaces they're given, with one of the two workspace roles below.
Member (workspace role)Can edit the workspace: prompts, topics, content and more.
Viewer (workspace role)Can only read the workspace.
